How do you write a dismissal letter?

You need to know whether you work in an at-will or no-fault state. In at-will states, you can fire anyone for any time for any reason (as long as it is not based solely on race, sex, or age, etc.). In at-fault states you need documented reasons, like a history of poor performance. Check with the EEOC or a lawyer.

A dismissal letter needs to be brief, factual and to contain only relevant detail. Make it clear that the person is being dismissed and why. Briefly outline performance or conduct history, discussions held and procedures followed. Finally, indicate what the person will receive in full and final settlement.

I would just write that I want to be dismiss on the date that you choose. Make a copy to keep for yourself for your records. Just let them know that you want no hard feelings,and thanks for the chance to work for them.

List the exact reason for the dismissal, along with description of any proof you have. "They were repeatedly late", "refused to perform job duties", "accusations of theft backed by video from security camera". And do not add personal opinions or criticisms of their personality.

You need to be firm. Don't use any profanity and try to act like you still like the person even though you don't. Then have your lawyer check it for spelling and grammar. Then you should be in the clear to fire the thief and hire a good worker who won't rip you off.
