For a business, you can have a client computer (the computer normal employees use) access and input data values on a file stored on a server that can be accessed by those computers. That way, the data can be viewed any time by technicians and administrators, allowing more flexibility, easier maintenance, etc.

An easy was to get around this could be setting up a NAS. There are many different companies who sell devices that can attach storage to a network, in order to have a centralized information system, which is what NAS stands for Network Attached Storage. Googleing how to set up a NAS can tell you what to do.

Depends on what type of information you are centralizing. If you are centralizing financial data you would use a series of federated databases with a well thought out design.
