Petty cash should have a master sheet listing all payments made with a number for each one. The number should also be written on a receipt for the purchase, or without a receipt, manually track who was paid, what they bought and for what reason. Petty cash plus total of receipts should be checked once per period to stay balanced.

It's a fairly simple process, just either get a good booking system, like excell or keep a log book every time you make a transaction, No matter how small, one missed log will ruin your system.

This is actually much simpler than it seems. You always want to keep your receipts in with your box. When you take money out of the petty cash make sure you promptly return the change along with the receipt.
