Do original W9s have to be sent to the requester?

Or, does a faxed W-9 or scanned Form W-9 suffice?

A faxed W-9 is great suffice for an original W-9. All you will need from the W-9 is the federal and income taxes that were taken out for tax purposes.

The requester must have on file the official form as issued by the IRS and the form must be signed by the contractor. That is to say that the form cannot be submitted as a .pdf with an electronic signature. The signed form can be faxed, or signed, scanned and then sent as a document or .pdf.

Original W9 forms should be provided to the requester by the employer (or the entity who paid the requester) for filing with the person's 1040 form and other forms as needed. The most important thing, however, is to ensure that all such income is properly declared on a person's tax return.

No, though it is a courtesy to send the original, it is not required. All a worker needs is the information on the form, so sending a copy or a fax will suffice for this purpose.

The employer must have a signed copy of the W-9. The signed form can be mailed, faxed, or scanned and send as an attached file through email. While the form can be downloaded from the IRS site, it must e printed out, signed and submitted. It cannot be "electronically" signed and forwarded.
